What to include
Use this template if you work under your own name for several clients and bill per project, per day, or both. It suits writers, designers, developers and translators billing businesses. The layout is plain on purpose, so the person paying you finds the invoice number, amount due and bank details without hunting. Download the PDF free, no account needed.
- A header with your name or trading name, email and address (your logo too, with a free account)
- A “Bill To” block with the client's legal name and billing address, which may differ from whoever briefed you
- The invoice number, issue date and due date together in one block
- A line table with Description, Qty, Rate and Amount columns, one row per deliverable or day worked
- Subtotal, Discount, Tax and Total, then Amount paid and Balance due if a deposit came in
- A Bank Details section and a Notes line for the payment reference

Four things that get you paid sooner
Number every invoice
Sequential numbers such as INV-001 and INV-002 keep your records in order and give the client a reference to quote. Invoice Forever numbers them for you, and a free account lets you choose the prefix.
State the due date, not just the terms
“Due 30 April” leaves less room for doubt than “Net 30”. Choose Due on receipt, Net 15, Net 30 or Net 60 and Invoice Forever prints the matching date.
Add your payment details
Put your IBAN and SWIFT/BIC code on the invoice so a client abroad can pay without asking. You can bill in any currency, such as dollars for a US client even if you bank in euros.
Record a deposit as a payment
If the client paid part of the fee upfront, enter it under “Amount paid”, not as a discount. The PDF shows the payment and the balance due, and the total still reflects the full value of the work.
